Position Overview
We are seeking a highly dependable, organized, and detail-oriented Administrative Assistant to support alcohol industry reporting, pricing submissions, and general administrative functions. The ideal candidate will have strong computer skills, experience with QuickBooks (for entries), and the ability to manage reporting deadlines with precision. While the Accountant handles monthly reconciliations, this role ensures the day-to-day financial and compliance details are accurate and up to date.

Key Responsibilities

  • Prepare and submit required reports to federal, state, and local liquor authorities on
    production, sales, and inventory.
  • Maintain accurate records of all production, including gallons of beer brewed and cases
    of spirits produced.
  • Manage pricing postings, ensuring all product prices are submitted 30 days in advance of sale.
  • Enter transactions into QuickBooks; coordinate with external Accountant for monthly
    reconciliation.
  • Track and organize deadlines for compliance filings, reporting, and pricing submissions.
  • Assist with general administrative tasks including filing, data entry, and maintaining
    organized records.
  • Support inventory tracking and reporting for production and finished goods.
  • Communicate with management team to ensure compliance processes run smoothly.

Qualifications

  • Strong attention to detail and organizational skills — highly dependable and deadline-
    driven.
  • Proficiency in QuickBooks (basic entries) and Microsoft Office (Excel, Word, Outlook).
  • Comfortable working with reporting systems and learning industry-specific platforms.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet strict deadlines.
  • Prior administrative or compliance experience preferred; alcohol industry knowledge a
    plus but not required (training provided).
