Essential Job Duties and Responsibilities:    

  • Assist the Investor Relations team in the new subscription process by providing paperwork and communicating subscription instructions to new investors, existing investors and Advisors
  • Ensure timely receipt of funding and paperwork for all expected subscriptions each month by coordinating and communicating with each member of the Investor Relations team
  • Respond to investor questions, information requests, and account servicing needs
  • Work closely with our transfer agent and outside custodians to resolve issues or questions regarding shares issuance, dividends, or re-registrations
  • Submit service requests to our transfer agent and follow up for accuracy and completion
  • Assist in the coordination of monthly share issuance and monthly reconciliation of new subscriptions by working closely with the Accounting department
  • Coordinate payment of monthly/quarterly dividends with our transfer agent and assist in the preparation of dividend data to Custodians or Advisory firms
  • Assist in the overall maintenance of our CRM (Salesforce) to ensure high level of accuracy of investor information and follow through on all commitments
  • Run equity reports as needed from Salesforce for Investor Relations and Executive Committee meetings
  • Assist with the ongoing data updates for marketing materials on a quarterly basis and as needed for special presentations
  • Assist with the quarterly update of Consultant databases as needed
  • Communicate and handle incoming and outgoing electronic   and verbal communications
  • Stay abreast of industry trends, hot topics and regulations
  • Abide by and aid in the development of investor relations policies and procedures for the organization
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
  • Assume other duties and responsibilities as required

Skills/Qualifications:  

  • Exceptional interpersonal communication and relationship building skills
  • Excellent verbal and written communication and presentation skills
  • Strong organizational, planning and decision-making skills; Able to perform under deadline pressure and handle multiple priorities and changes with professional demeanor
  • Strong attention to detail; Performs with exceptional accuracy
  • Solid work ethic; Performs with the utmost integrity, professionalism and commitment
  • Self-starter; proactive independent worker, who is not hesitant to ask for direction when required
  • Passionate about investor client service
  • Proficiency in MS Office, including Word, Excel, Outlook and PowerPoint
  • Experienced information gathering and information monitoring skills

 Education/Experience:

  • Bachelor’s degree from four-year accredited university preferred
  • 3+ years’ client service experience, preferably related to account management or financial services
  • 3+ years’ financial services experience
  • Experience in relationship building and retention of clients; preferably high net worth clients
  • Passion for, knowledge of and experience in business, finance, investments and client service; real estate industry experience a plus
  • Database information management skills; experience using CRM tools
