  • Manage Executives' calendars including but not limited to coordination of travel arrangements, scheduling meetings and teleconferences, ordering and setting up lunch meetings
  • Process invoices, purchase orders and expense reports
  • Create, lead and/or produce various project work, preparation of presentations, mailings, fulfilling promotional requests
  • Creation & management of databases
  • Record meeting minutes as necessary
  • Mail distribution and order office supply inventory
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information, initiating communications
  • Assist in document change control process using the quality management system or alternative system
  • Provide back-up support for the Quality Assurance/Regulatory department activities


  • Strong knowledge of MS Word, Excel, PowerPoint and Outlook required
  • Minimum of 5 years' executive support experience required
  • Excellent communication, interpersonal and phone skills needed
  • Proven ability to multi-task, provide attention to detail and be a team player
  • Ability to maintain confidentiality and high degree of professionalism
